An OST file is an offline folder of MS Outlook that allows the users to work offline and synchronize the changes simultaneously with server, whenever the connectivity is back.

The OST file is stored on the user machine, but different versions of Outlook have different locations for their OST files. Use the following locations according to your Outlook versions:

For MS Outlook 2003:
  • Go to Tools menu, click E-mail Accounts.
  • Select the option: View or change existing e-mail account, and click Next to proceed.
  • select Microsoft Exchange Server, and click Change.
  • Select More Settings option.
  • Click the Advanced tab, again click Offline Folder File Settings.
For MS Outlook 2007:
  • Launch MS Outlook program.
  • Go to Tools menu, and select Account Settings.
  • In the Account Setting window, click Email tab, and select your Microsoft Exchange Server, and then click Change.
  • In "Change E-mail Account" window, Click More Settings.
  • when "Microsoft Exchange" dialog box pops-up, then click the Offline Folder File Settings button.
  • When the "Offline Folder File Settings" dialog box appears, then select the OST file location from the File field. Note: By default, the OST file location is: C:\ Documents and Settings\ username\ Local Settings\ Application Data\ Microsoft\ Outlook\ outlook.ost
  • Now copy the OST file path.
For MS Outlook 2010:
  • Go to the File Tab on the Ribbon, and select the Info tab from the Menu.
  • Select Accounts Settings tab, again click Account Settings option.
  • In the Account Setting dialog box, select your Microsoft Exchange Server, and then select Change option to change it.
  • ON the Change Email Account Window, click More Settings button to proceed.
  • On Microsoft Exchange window, click the Advanced tab, and click Offline Folder File Settings to use the OST file location.
For MS Outlook 2016/2013:
  • Launch Outlook 2013/2016 program.
  • Select the File menu on toolbar, and open the Account Information window.
  • Select Account Settings, and then click Account Settings options.
  • When Account Settings Window appears, then Select Data Files tab, and then select Open File Folder option to view the OST file.

The recommended method to change the location of OST file is to create new Outlook profile and then change its location.

Steps to change the location of OST file
  • Copy your OST file to the new location. Skip this step when you’re creating a new OST file.
  • Open Control panel, and search Mail option.
  • Click Show Profiles, and then select Add button to add a new profile.
  • In the New Profile window, enter the profile name that you want to use for the new email profile. Click OK to save.
  • Click Next when Outlook provides your account information.
  • Put a check in Change account settings box, and click Next.
  • Click More Settings.
  • On the Advanced tab, select Outlook Data File Settings button.
  • Now click browse button to provide the OST file that you’ve used in step 1. Click open. In order to create a new OST file, provide the location where you want to save the new OST file.
  • Click Finish to complete the email account setup.
  • Now open Control Panel, and then open Mail. Click Always use this Profile option and click ok.
  • Restart Outlook program.

This will create a new OST file at your designated location.

An OST file is the copy of items that are stored the email server, and doesn’t need to frequently backup like PST file. In order to import items from an OST file, you can re-create an OST file and create a new updated copy anytime.

Use the following steps to re-create an OST file:
  • Close Outlook program.
  • Go to Control Panel, and double-click Mail to open.
  • On the E-mail tab, select your Exchange Server account, and then use the Change option to proceed further.
  • Clear the check box: Use Cached Exchange Mode.
  • Click More Settings to proceed.
  • Select the Advanced tab, and click Offline Folder File Settings.
  • Select Disable Offline Use, and then click Yes.
  • Click Offline Folder File Settings, and click OK to open.
  • When a dialog box appears, then click Yes.
  • Under Cached Exchange Mode Settings, put a check on the Use Cached Exchange Mode check box. Click OK, and click Next, and then click Finish.
  • Now click Close to exit.
There are two ways to synchronize the Exchange Server mailbox with OST file in MS Outlook.
  • Manual Synchronization
  • Automatic synchronization

Synchronization means that the number of items contained in the ‘contains’ fields of offline folder and server folder are same. If not, then verify the profile settings and then synchronize the folders using the above two methods.

Verify profile settings in MS Outlook 2010:
  • Go to File menu, Select Account Settings from the list.
  • Select Data Files tab, and ensure that Mailbox - account name is set as the default.
  • Select E-mail Tab, click Mailbox - account name, and then click Change.
  • Verify that this box is checked: Use Cached Exchange Mode. Click OK.
  • Click Close to finish.
  • Exit Outlook program. Restart Outlook program.

Now use any of these given methods to synch the Exchange mailbox with OST file.

Manual Synchronization:
  • Go to ‘Go’ menu, click the Folder List pane, and select the folder to synchronize.
  • On the Tools menu, hover the mouse to Send/Receive icon, and then click This Folder to synchronize single offline folder, All offline folders.
  • Now click Send/Receive to synchronize all offline folders.
Automatic Synchronization:
  • Go to Tools menu, and click Options.
  • Jump to the Mail Setup tab.
  • On the Send/Receive section, select the checkbox: Send immediately when connected.
  • Click Send/Receive to make changes.
  • When Send/Receive Groups dialog box appears, then ensure that this option is selected: Perform an automatic send/receive when exiting. Click Close to save the settings.
  • Click OK to finish the process.
