Office 365 does not take a backup, but it replicates the user data to multiple data centers at different geographical locations. When a disaster occurs, Office 365 will retrieve the user data from the secondary data center with a 99.9% accessibility rate. But, if you follow the Service Licensing Agreement, the user is liable for the data lost from unauthorized access. So, it is better to take a constant backup at regular intervals.
Before starting the transfer, the software will ask you the location where you want to save the PST file.
You should apply the date range filters and choose only new items. It will skip the older emails.
No, the Office 365 administrator can choose all the associated mailboxes in a single login. No extra attempt is required.
The trial version has the limitation for free backup of Office 365 to save only 10 items per folder.
Save free Office 365 backup report in CSV format.
Yes, the tool is well designed to work uninterruptedly on all versions of the Windows operating systems.
The backup process can very well run in the background while allowing all its users to continue their work without any interruptions.
The software has the capacity to take backup of all the content which includes emails, attachments, contacts, calendar entries, appointments, events and much more.
Certain unique and helpful filters like Folder, Date, Item type, Sender etc. provides users with the flexibility to save selective content only according to their preference.
Office 365 holds emails in the user mailboxes as long as an active subscription plan is associated with the account. Also, the availability of emails depends on the organization's retention policy. For the Exchange Online account, the default retention policy is applied automatically. If you enable the archive mailbox, then the emails from the primary mailbox will move to the archive after 2 years. The admin can also change the retention policy and move the emails to the shared mailbox earlier.
Many times, businesses require to keep the mailboxes from certain employees even when they leave the organization. That's why the Office 365 admin keeps the in-place hold on such mailboxes so that they are not deleted completely. Such mailboxes remain in the database, but they are inactive. The user can run a content search using the Microsoft Purview compliance portal. It will be a keyword-based search that will look for critical data in the inactive mailbox.
To protect the mailbox from losing its data, Office 365 uses a feature called Database Availability Groups, in which the mailbox is replicated to multiple data centers. In a failure, when the primary mailbox is corrupt or deleted, data is retrieved from the other copies of mailboxes from different data centers. But it does not ensure that it will provide a point-in-time recovery. So, Microsoft strongly recommends using a third-party service or application to take the backup of Office 365.
If you have created Groups in Office 365 using the admin account, you can take a separate backup of it. When you input the Administrator credentials on the login page, then choose the second option to 'List all mailboxes using above credentials' and choose the Get Group(s) option. It will select only groups present in the account. Later, the remaining backup process is the same as regular mailboxes.
Before taking a backup file, the software asks you to choose a folder where you can save the backup file. It also allows for creating a new folder.
The tool will create multiple PST files for each Office 365 mailbox you selected for the backup. The name of the PST file will remain the same as the mailbox for simple identification.
The software is providing a unique filter option 'skip previously migrated items (incremental).' Choose this filter and export only new data in the backup file.
