How to Manage User Profiles in SharePoint Online?

In Microsoft 365, there are certain SharePoint user profile settings which can be customized or set as per the administrator choice. A SharePoint Administrator can

  • Create, edit or delete property
  • Manage audiences
Creating/Editing Property in SharePoint User Profile

To create or add a user profile’s property in SharePoint Online (Microsoft 365), execute these steps in the given order.

  1. Login to https://admin.microsoft.com with your administrator credentials.
  2. Move to Admin>>Admin Centers>>SharePoint.
  3. On the left panel, select User profiles option and click on Open under it.
  4. Now, from the right panel, click on Manage user properties option under People section.
  5. To create a fresh user profile property, click on New Property option.
  6. Now, provide the entries to this new property.

    • Name – any name
    • Display Name – which you want to be displayed to the users
    • Type – select data type from the list
    • Default User Profile Subtype – Make sure it is selected
    • Description – Provide desired information about this property which would be visible to the users
    • Policy Settings – Choose the desired policy and privacy settings for this property
    • Display Settings – Add desired settings letting this property display as per your choice to the users
    • After providing all the details, just click on OK and the new user profile property is created now.

Note: You can anytime edit the user profile property or directly delete the property by selecting the desired property under Property Name (going to Manage User Profiles option as above) and clicking on Edit or Delete option as per your requirement.

Managing Audiences in SharePoint User Profile

Here is the process to manage audience for your user profiles.

  1. Go to your SharePoint Admin Center.
  2. Click on More Features option and under User profiles, click on Open.
  3. From People section, click on Manage Audiences link.
  4. Click on Create New Audience and add details like Name, Description, Owner, Include users category. Click on OK.
  5. Next, you can also create a new Audience Rule in which you can create a rule based on User or Property; select an operator for this rule and Value. Finally click on OK.
  6. Note: Audiences and rules can be edited or deleted anytime with the Edit and Delete options respectively.

    You can view audience after it is compiled only (done weekly).

You can view all information related to Audiences on the User Profile page. Audiences allows customizing page content for specific users on the basis of their availability in a distribution list/security group.
