Microsoft Outlook stores emails, notes, contacts, etc. in Personal Storage Table (PST) file, which like other computer files can be damaged due to logical or physical reasons. Therefore, timely backup of PST file should be taken to easily recover emails, notes, calendars, etc. when PST file gets corrupt.
To make the backup process easy, Microsoft provides Microsoft Outlook Personal Folders Backup tool, which you can use to timely backup the PST file containing your emails, and use the backup in events of file corruptions, email deletion, file inaccessibility etc. The tool on specific time intervals sends you reminder to update the backup.
When you open the software, then it shows the options to select the Personal folders for backup. Click Save Backup.
The software will show you the reminder to take the backup after definite number of days. You can also select among the available personal folders. Click OK.
While using the tool for taking backup, you need to be careful and active because if the backup process gets interrupted, the PST file can be damaged. Once the backup process is interrupted, following error message will be displayed:
Cannot copy <.pst name>: There has been a sharing violation. The source or destination file may be in use.
The reason for the interruption of backup process can be – Outlook has been restarted while the Microsoft Outlook Personal Folders Backup tool is in use. This can lead into incomplete backup or damage of the backup copy. Therefore, before restarting the Outlook, you should check the status of Microsoft Outlook Personal Folders Backup tool. If the tool is in use, do not restart Outlook. You can check whether the tool is in use or not by performing following steps:
See if Backappl is there. If you see the name there then do not restart the tool until Backappl is in tasks list.
In case, Outlook has been restarted, the PST file from which backup is being taken gets corrupt. However, most of the time it has been noticed that large PST files gets damaged during the backup process. After the PST file gets corrupt, you need to restore emails, notes, etc. from backup copy if already have. But, if you do not have any backup copy then the only way to restore emails, contacts, notes, calendars, journals, etc. is to repair the PST file.
