Kernel for Attachment Management: Compressing and Archiving Attachment

Now, there is no need to use any other program to compress and archive email attachments in ZIP file, as Kernel for Attachment Management provides its users with this functionality. Using Compressing and Archiving Attachment facility, you can automatically compress and archive attachments while saving them at the destined location.

Size of the attachments below which the software will not archive the attachments can be specified using this add-in. Once the size of the attachments and their types are specified, the software checks the email attachments before archiving them in ZIP file.

Archived attachments can also be protected with password. Once the password is applied to the ZIP file, only users, who know the password, can open the ZIP file. This way the Outlook ZIP Attachment Processor makes the archived attachments more secure.

Benefits of compressing and archiving attachments

Compressing and Archiving Attachment offers following benefits:

  • Provides more space on hard disk: Automatic compressing and archiving before saving on hard disk reduces the size of attachments to a considerable extent. Therefore, the space on hard disk gets increased, which can be utilized to save other items.

Moreover, the Outlook's issue of blocking the suspected file types gets also resolved because Outlook allows sending ZIP file.

How attachments are automatically compressed: An Example

Being a regular Outlook user, you should compress and archive attachments before saving them on your computer's hard disk or network drive. Doing this will not only reduce the size of PST but also allow you to save the attachments at destined location in a more secure way. However, for enabling the software to automatically compress and archive attachments at the user-defined location, you need to either create a new Attachment Processing rule or have to edit an existing rule and specify required parameters.

To create a new rule, click the New Rule button on software startup or to edit the rule, select the rule and click the Edit button in the software main window. When you move ahead in creating or editing the rule, you will get option to Compress attachment(s) in the Archive Attachments page of the wizard:

On selecting the Compress attachment(s) option, following sub-options get enabled that you can specify to compress, archive, and secure the attachments:

Do not compress file smaller than: Helps you specify the size of the attachment below which the software will not process the attachment.

Do not compress these file types: Helps you specify the formats of the attachments that you do not want the software to compress. For example, you may receive attachments that are already compressed.

Add all attachment in a single ZIP file: On selecting this option, the software adds the attachments in a single ZIP file and modifies the ZIP name as per the variable selected. After that the ZIP file is saved in the target folder. Following are the variables from which you can select the required one to modify the name of the ZIP file:

  • Message sender name
  • Message sender email
  • Message received date
  • Message subject
  • Message subject without RE or FW

Protect ZIP file with password: Automatically applies password on archived attachments while saving them at the target location.
